Policies and Procedures
Thank you for choosing Xenon Travel USA, your analytics of vacation travel. Our staff will take pleasure in planning your next business, family, or group destination worldwide. Our prayers will always be with you to have a wonderful vacation. The following are the policies and procedures of Xenon Travel USA.
BOOKING
Packages and/or booking must be booked immediately once created by an agent of Xenon Travel to secure the price and availability, as prices for booking and/or packages are subject to change without notice. Quoted packages will not be available until the time reservations are made. No quote will become a booking until a deposit is made. Quotes can be held for 36 hours
The following are required to complete a booking package:
1. Valid ID for each individual Traveling 2. Consent Form 3. Credit Card Authorization Form 4. Contact Form
5. Copy of your Valid 6 month Passport before departure. 6. $85.00non-refundableadministrativefee. 7. Ask for administrative fees discount for groups of 10 or more.
Most of our travel services are paperless; however sometimes vouchers are issued. You will most likely receive your confirmation by email or through the mail. If email, please print your ticket or voucher. If by mail, vouchers will be delivered based on your contact form’s information. Please ensure the information is correct. (NO P.O. BOX NUMBERS). Mailing fees may apply. Xenon Travel and/or vendors will not be responsible for any tickets, vouchers or documents delivered to the wrong address that may be lost or stolen. It’s the customer's responsibility to maintain any and all tickets, vouchers and documents during your travels. All prices are in U.S. dollars.
PAYMENT
Xenon Travel USA and some vendors will allow customers to pay in parts. This is not a right, but a courtesy to help customers afford a vacation. Needed are.
1. Completed Contact form
2. Valid Driver License or a State issued I.D.
3. When a deposit is made, a payment schedule will be issued.
Your billing statement may reflect more than one entry. All entries will reflect the sum total of your booking. All debit and major credit cards must be issued by U.S./Canada banks. If cards are used, Xenon Travel and/or vendors will not be responsible for any OVERDRAFT fees or any charges that may be charged by your bank. It is important that payments are made on time. If payment is late or missed, please notify a staff member with Xenon Travel within 24 hours at 678-634-4121 If no one answers, please leave a message. If you miss two or more payments, you may have abandoned your booking and/or reservation. All deposits and payments may be forfeited. Please note that it is your responsibility to ensure your group and/or travel mate makes all payments on time. Xenon Travel will use a few payment methods of payment to assist or help to make as low as possible monthly payment Debit/Check Card, Credit Card, etc. (No Cash or Bank Draft PERIOD.
6. $85.00non-refundableadministrativefee.
Your obligation to Xenon Travel and/or our vendors is for the total booking or package amount regardless how much has been paid to Xenon Travel and/or our vendors.

Passport
A valid U.S. passport with at least six (6) month’s validity after the date of travel is required for traveling outside
the United States Borders.

AIRLINE
● TheAirlineswillrequireavalidI.D.uponcheck-inandavalidpassportfortraveloutsidetheUnitedStates
Borders.
● Seatassignmentsaresolelyuptotheairlineand/orvendors. Requestscanbemadebutarenotguaranteed
unless you upgrade and in which case the airline has set the pricing. Any and all bag fees will be paid to the airline by the customer at the time of departure. Check-in 2 ½ hours prior regional flights, 3 ½ hours before international flights
CHANGES/OTHER
Xenon Travel will not and cannot be responsible for changes made by the airlines and/or our vendors. Customers are responsible for any changes to their information. Once booking is processed, name changes will not be allowed. Bookings are non-transferable. Xenon Travel and/or vendors or airlines will not allow any changes on tickets or bookings. You cannot change any tickets, trains, hydrofoil, cruise, and sporting event without the acknowledgement of Xenon Travel and/or our vendors. A cancellation is defined as a voluntary termination of an entire trip and is requested before the original travel date. Somebookingmaybenon-refundable. If you miss a transfer, cruise, airline, etc., no refund will be given. If there is a refund due to unforeseen circumstances, refunds cannot be issued until receiving appropriate verification and approval from our vendors.
INSURANCE
Xenon Travel and/or staff assumes no responsibility nor will be held liable for any accident, personal injury, damage property, loss or stolen items. Xenon Travel and/or our vendors will offer Travel Insurance; this is OPTIONAL and NOT MANDATORY. Some of our vendors will allow you to purchase travel insurance within TEN (10) days after you book your package. A reminder will be offered within that time frame. You are responsible to ACCEPT or DECLINE the insurance at the time you book your package. To be in the safe but not SORRY category, Xenon Travel strongly recommends you choose one of these travel insurance companies.

We will not refund any money to customers arriving late for check-in. No refund for dissatisfaction with the property, its rooms, facilities or services. No refund monies for vouchers, airline, bus, train tickets, etc. that have been lost or stolen or left at home. (Physical tickets must be in your possession). Xenon Travel reserves the right to refuse any participant in any of our events or package and tours.
The airlines and/or our vendors reserve the right to change, substitute and cancel events and packages.
In the event of inclement weather conditions, the airlines and/or our vendor’s reserves the right to withdraw and/or cancel any event, promotion, tour, and cruise. Please notify Xenon Travel if you or anyone in your party has any disabilities or special medical needs. Our agent and the vendors will do our best to meet every need that is possible to accommodate. Xenon Travel and our vendors will not be responsible in the event we are not able to accommodate you and your group disabilities. The American disabilities Act only applies within the borders of the United States.
